Licensed in Multiple States? How to Manage CE Requirements Without Losing Your Mind

You hold licenses in more than one state. Each one has its own renewal cycle, its own ethics requirement, and its own list of approved providers. The chaos is real. Here's how to stop scrambling six weeks before your deadline and build a system that actually works.

The Multi-State CE Problem Is Real

Let's start with why this is hard. Georgia wants 40 hours of CE every two years. North Carolina wants 60 hours over three years. Both mandate ethics—but Georgia requires 3 hours, while NC requires 6. One state accepts any NBCC Approved Continuing Education Provider; another maintains its own approval list. Add a third state and you're managing three calendars, three sets of rules, and three renewal fees.

Most counselors track this in their heads or dump it into a spreadsheet they update once a year. When renewal notice arrives, panic sets in. You're not disorganized. The system is genuinely complicated.

Map Your Deadlines and Requirements—First

Before you choose a tool, you need the raw data. Pull your license renewal dates for every state where you hold a credential. Write them down. Next to each, list:

Vet Providers Before Enrollment

This prevents wasted hours and money. Before you register for a course, verify the provider's approval status in every state where your credit will count. A course offered by an NBCC Approved Continuing Education Provider won't always satisfy your state board's rules—check their specific acceptance policies.

Screenshot or bookmark the provider approval list from each state board. Keep these in a shared folder. When you're shopping for CE, cross-reference before clicking "enroll." Ten minutes of research upfront saves you the heartbreak of discovering a completed course doesn't qualify.

Front-Load Your Ethics Hours

Ethics requirements trip up multi-state counselors constantly. Take your ethics hours early in your renewal cycle—at least a year before renewal. This prevents you from rushing to find an ethics course that meets every state's timeline and approval requirements simultaneously.

Mark ethics hour completion in your tracking system with flags for each state it satisfies. Some states allow ethics hours to count toward general requirements; others don't. Know the rule for each license you hold.

Build a Six-Month Warning System

Set calendar reminders for six months before each renewal deadline. At that point, pull your tracking system and assess where you stand. Are you on pace? Do you need to accelerate? Which states require courses you haven't touched yet?

This check-in prevents the panic that comes when you log in two months before renewal and realize you're short. A six-month buffer gives you real options for course selection and lets you plan around your work schedule.

Consider Your Total CE Load

If you're licensed in three states with staggered cycles, you might have overlapping renewal windows. Some years you'll renew two licenses simultaneously. Plan your CE intake accordingly. Take more hours in light years and cluster them in heavy years if your schedule allows.

You can count the same course toward multiple state requirements—as long as that course meets each state's approval standards. This consolidates your workload and reduces redundant training.
